Manage the “Do Not Contact” lists

You can manage the “Do Not Contact” lists to view the contacts, remove them from the lists, and even export those contacts into a CSV file.

Marking leads as Do Not Contact

You may mark leads as Do Not Contact to honor their request to opt-out from receiving your automation; or simply because you don’t intend to message them anymore.

This is a useful practice that avoid your texts / emails from being marked as spam.

Managing the “Do Not Contact” lists

  • On the left sidebar, click on Settings > Do Not Contact Lists

In this view, you can:

  • See all the contact items (text / email) marked as “Do Not Contact”
  • Filter the view by text or email
  • See the Date they were marked
  • And, the User who marked them
  • Export the results as CSV

You can filter the results to appear by:

  • Emails marked as Do Not Contact

  • Phone Numbers marked as Do Not Contact

Remove a contact from the Do Not Contact List

To remove a contact item from the do Not Contact List, under Actions, click on remove. And OK to confirm.

Automatically, the contact item (phone number or email) will be removed from the list. And the Stop button turns back to black in the lead view next to this contact item.

Export results as CSV

To export the results into a CSV file, click on Export CSV

The list is saved in your documents.

The fields exported are:

  • The ID of the record
  • The Email or Text according to the selected filter
  • The Date Marked on
  • The ID of the User who marked it
  • And the user’s full name

Customizing the Leads View

Customizing the Leads View allows you to display any info you have on your leads that you have saved in your aNinja account. (Whether all the leads or the ones that you’ve pulled out using a Smartlist).

In this article, we show you how you can customize the leads view to show info you have for your leads (Name, User assigned to, lead’s contacts, the created date, and the custom fields).

To choose which data you want to display for the leads, just click on the little icon on the top right. And select the fields of your choice.

Opportunity Status Report

Opportunities let you track what kind of financial reward you are expecting to make from a lead, in a certain interval of time, including an optional confidence interval. Set your filters in the toolbar and manipulate the data you want to view in your report including the aNinja opportunity status report.

Setting the Opportunity filters

From the toolbar, you can manipulate the data you want to view in your report.

  • The toolbar options:
    • Status:
      • You can choose to view the opportunities sorted by status.
    • Sales Rep:
      • If you have an admin role, you can choose to view the opportunity status of a specific user, or all the users.
      • If you have a user role, you can only view your own statuses.
    • Date Range:
      • Set the date range you want, between today and the last 12 months, or even customize the range.
        • If the status is set to all (view all the statuses), then the date range filter will be applied on the “Date created field“.
        • If the status is specified, then the date range filter will be applied on the “Date status updated field“.

The Opportunity Report

After you set your filters, the system brings you the reports that are relevant to your search.

  • You can see the total number of each opportunity status in the first widget.
  • In the report’s list, the date Status Update is the date when the opportunity was set to active.
  • The Date Created is the date when the opportunity status was created.
  • Lastly, export your Opportunities data report into a CSV file

 

aNinja Centralized Inbox

The aNinja Inbox is a centralized view of all your incoming communication emails, textsvoicemails, missed calls, open tasks, and the chatbot conversations too.

You should be able to work exclusively from your aNinja Inbox.

From your Inbox items, you can:

Dynamic Inbox

The Inbox badge in the sidebar dynamically updates to show you how many Inbox items are available.

Concluded Tasks

  • Ultimately, all items of the aNinja centralized inbox should be completed on daily basis. However, if that was not possible, you can report them to the next day. Just toggle all the remaining items of the inbox and click on future in the toolbar.
  • The Inbox badge in the sidebar will show a green checkmark when all your Inbox items are done!

Task Management

  • You can also bulk mark inbox items as done / not done.

  • Answering a Lead from the Lead view (send/reply to an email, or send/reply to text) will automatically mark previous inbox items of the same type (e.g. email/text) as done.
  • Admin users can view inbox items for other team users, as well as filter them by type.

Launching bulk text sequences

Launching bulk text sequences is sending a series of texts automatically to a group of recipients all at once, using an automated messaging system.

You can also send a text sequence to a bulk import list. A text sequence is an efficient way to automate a time-consuming process. And it can be set up to be triggered or sent at the designated time or interval.

Launching text sequences to ALL leads

  • Click on Bulk Text Sequence on the top right.

  • And hit Launch Bulk Text Sequence

An alert pops up to show the number of leads included in this sequence and that have no phone numbers. Click on the number to see those leads.

  • Select the Text Sequence

  • And hit Launch Bulk Text Sequence

You can also launch sequences to a single lead from the lead view and track it.

Tracking a text sequence

After launching your text sequence, you can check its status in the Dashboard Widget “Bulk Sequences”.

Expired Text sequences

The in-queue text sequences expire if they were not sent for over 36 hours past the intended launch time of the sequence step.

Stopping a text sequence

From the Dashboard widget “Bulk Sequences”, you can also stop sending the text sequence only if the sequence delay setup is of 1 or more days.

You can also stop a sequence for a single lead from the “Active Text Sequence” in the lead view. This does not affect the sequence. It only stops sending it to this specific lead.

The lead search is one of the most common actions performed in regular business applications. aNinja searches among all your CRM records – Name, contact, email, phone, and any other custom fields, and brings you the results in the Leads View.

Filtering your leads into any wished criteria, allows you to group them under these criteria, and target them with your specific campaigns call to action.

  • Create the criteria in the status of the lead(s) in the workflows.
  • Call a Smartlist with these criteria when it’s time to launch the campaign.
