Configuring your email account

Configuring your email account allows you to work on both aNinja and your email account in total synchronization.

aNinja was designed to offer two-way email integration. This means, when you send emails from aNinja, the system automatically logs them in the sent folders of both aNinja and your email account (Gmail or your mobile phone).

Benefits of email configuration

  • By connecting your email account with aNinja, aNinja begins to automatically track the email actions with any contacts between aNinja and your email account.configuring your email account
  • You can work from either aNinja Inbox or your email account. And the changes transmit between the two. So you don’t waste time seeing emails again in one place that you’ve handled in another.
  • When sending emails through your email client (ex: Outlook, Gmail…) there’s no need to BCC aNinja. The emails automatically show up in your aNinja account in the history of the matching leads.
  • Received emails also show in the inbox of aNinja and your email account.
    • However, if you receive an email and the sender’s email is not saved in aNinja, this email appears only in the email client and does not show in aNinja.
    • Basically, we don’t automatically create a lead for the incoming email if the email address is not saved in your system.

  • aNinja automatically syncs all email communications that you initiate with any contact in aNinja.

Lead Interactions

Lead interactions refer to the various touchpoints between a business and a potential customer, or lead, throughout the sales and marketing process.

You can track and manage those interactions in aNinja. Which allows you to monitor and analyze them with leads and track their progress through the sales pipeline.

In aNinja, they can take many forms, including notes, emails, texts, and phone calls.

Types of lead interactions

  • Note 
    • Leave any important note for you or other team members to pick up on, including minutes notes.
  • Email
    • Send personalized emails to leads to introduce your product or service, provide value, and encourage them to take action.
  • Text
    • Using SMS or other messaging apps to communicate with leads in a more immediate and personal way.
  • Call 
    • Speaking with leads over the phone to build rapport, answer questions, and provide more information about your product or service.

Where can I see the lead interactions

They exist in the lead view, in “All Interactions” dropdown.

Lead Interactions

You can access the lead view from 2 places:

  • On the top navigation bar, type the name of the lead or any info related to this lead (email, phone, URL, or custom field). Then, aNinja finds them for you. Just click on the name and the system redirects you to the lead view where you can start the lead interactions.
  • From the left sidebar, click on Leads icon. It shows you the list of all the leads you have in aNinja. Locate the lead, click on their name, and you will be guided to their lead view.

All your interactions are saved in the Lead View in the History section to give you a deep view of the tasks performed for this lead.

In the leads view, you can see all or a group of leads that you have in your CRM. The lead view shows the info you have on a specific lead.

In the Lead View you will see the personal info of a specific lead with the history of interactions and activities you have made with this lead since his creation in your aNinja account and his status in the workflow.

Search for a lead to see his lead view info.

Syncing emails from outside aNinja to the leads contacts

Once you’ve connected your email, and configured it with aNinja, as result, the email syncing is automatically processed: the system starts to automatically import the sent & received emails from your private email into your aNinja account.

Afterward, they are saved to the appropriate leads’ contacts in aNinja; even if you’ve sent those emails from outside of aNinja.

Syncing emails to the leads’ contacts

When you import your contacts from your email account, they are saved as leads. And relatively the imported sent & received emails  are automatically attached to the matching email addresses in the contacts of those leads. Those emails appear in the history section of the lead in the lead view, listed in ascending order of the date.

History of emails

When you create or import a lead, if his email address matches your contacts saved in aNinja, then the system automatically adds the emails in the history section of the lead in the lead view.

History of Interactions and Activities of a lead

aNinja brings you the history of all interactions and activities made for a lead in the lead view.

What’s the history of interactions and activities

Once the creation of a lead in your aNinja account, the system saves all the interactions and activities that you make to this lead, in the history section.

Moreover, they are listed in ascending order. So, the users and team members are kept in the loop of the actions performed on this lead.

In the history section you can view:

  • Calls made and durations.
  • Emails sent & received with this lead.
  • Notes that are left by any team member so any other user stays updated on any relevant info.
  • Texts sent to this lead.
  • Tasks assigned and their statuses.
  • Workflow steps changes.
  • Chatbot conversations initiated by this lead.
  • Triggers

Accessing the lead history

From the lead view, in the middle right of the page, you can see all the interactions and activities of the lead.The history of all interactions and activities for a leadYou can also filter activities and interactions that appear in the history section from “All Interactions” dropdown:

Including: Calls, Chatbot Conversations, Emails, Email Sequences,  Notes, Text Sequences, and Tasks.

Accessing the lead view

You can access the it from 2 places:

  • From the left sidebar, click on Leads. It will show you the list of all the leads you have in aNinja. Find your lead among them and click on the name. Then, the system opens the lead view.
