Enabling two-factor authentication (2FA) or One-Time Password (OTP) for your online accounts (such as Gmail), is a vital step to protect your sensitive information from Cyber attacks. However, you might face hurdle when enabling it on your aNinja number.

What is 2FA or OTP

Firstly, let’s understand what 2FA and OTP mean.

2FA is a security feature that requires users to provide two forms of identification before gaining access to their online accounts.

Typically, this involves entering a password and a unique code generated by an authentication app or received via SMS.

OTP is a one-time code that is sent to your registered mobile number or email address; which you need to enter along with your password to log in to your account.

Enabling 2FA or OTP on your aNinja number

OTP codes come from short codes. And many services that send with short codes only support sending SMS to standard mobile numbers.

aNinja phone numbers are all VoIP numbers, and are not considered as standard mobile numbers. Therefore, they cannot receive messages from many short codes.

What to do

The simplest solution is to use a different phone number, such as a personal mobile number, to receive the verification code. This way, you can still enable 2FA or OTP for your online accounts.

Another solution is to use a third-party authentication app, such as Google Authenticator or Authy, which generates a unique code that you can enter along with your password to log in to your accounts.

These apps do not rely on SMS or phone numbers. And, therefore, you can use them instead of your aNinja number for the two factor authentication.

It is always better to be safe than sorry when it comes to online security, so take the necessary steps to protect your online accounts today.

Configuring your email account

Configuring your email account allows you to work on both aNinja and your email account in total synchronization.

aNinja was designed to offer two-way email integration. This means, when you send emails from aNinja, the system automatically logs them in the sent folders of both aNinja and your email account (Gmail or your mobile phone).

Benefits of email configuration

  • By connecting your email account with aNinja, aNinja begins to automatically track the email actions with any contacts between aNinja and your email account.configuring your email account
  • You can work from either aNinja Inbox or your email account. And the changes transmit between the two. So you don’t waste time seeing emails again in one place that you’ve handled in another.
  • When sending emails through your email client (ex: Outlook, Gmail…) there’s no need to BCC aNinja. The emails automatically show up in your aNinja account in the history of the matching leads.
  • Received emails also show in the inbox of aNinja and your email account.
    • However, if you receive an email and the sender’s email is not saved in aNinja, this email appears only in the email client and does not show in aNinja.
    • Basically, we don’t automatically create a lead for the incoming email if the email address is not saved in your system.

  • aNinja automatically syncs all email communications that you initiate with any contact in aNinja.

Changing or resetting your aNinja Password

Consider changing/resetting your password every few months for security reasons. You can’t figure out if someone else is using the account.

So by changing your password consistently, you reduce the risk that other people will have access to your account.

Changing your password
  • Login to your aNinja account
  • Go to your Profile > PasswordChanging or resetting your aNinja Password
  • Enter your new password and click Update
  • Now, the system has saved your new password.

Reseting your password

In case you forgot your password, you can always reset it and generate a new one.

  • First, point your browser to:

https://aninja.com/forgot.php

  • A new tab like the one below will appear:
  • Then, enter your aNinja login email address.
    • Make sure you use the login email that you received in the aNinja user invite email when you were first invited to use aNinja app.
  • Click Send password reset link. After that, a password reset link is sent to the email address within a few minutes.
  • Lastly, use the link provided in the email to create a new password for your aNinja account.

Password security tips

  • Never give out your password to anyone.
  • Don’t use one password in all places.
  • Make the password at least 10 characters long.
  • Include numbers, capital letters, and symbols.
  • Consider using a password manager.
  • Consider using multi-factor authentication.

User Profile

A user can manage his profile and personal settings including notifications, changing his password, call/text forwarding, and more from his profile page.

Accessing the user’s profile

The user’s profile can be accessed from 2 places:

  • Click on the name dropdown at the top right of the page.
    • Choose Profile.
    • Then, the system redirects you to your profile.

Admin can access all users’ profiles

Admin users can view the list of all the user’s accounts and access their profiles by clicking on the edit pen on the left beside the user’s name.

Editing profile options

  • Profile
    • First name / Last name / Personal mobile number: The user can modify these fields.
    • Email: The email address cannot be changed by the users as this is used for the login and alerts. If you want to change it, please send an email to support@aninja.com.

User profile

  • Password
    • This is the password used for the login.
    • You can change it and click update.
    • Make sure you remember the new password!
    • Lastly, in case you forgot your password, you can reset your password.

  • Language

  • Date / Time
    • Set the date/time of the zone you live in case it was not different than the default one. Hit update to save the changes.

  • Calls
    • Call forwarding: Calls to your *private* aNinja numbers (not ring group) will be forwarded to this phone number that you assign here.

  • Text
    • Forwarding any text coming to your *private* aNinja number, not the ring group, to the phone number that you assign here.

  • Notifications
    • You can choose to be notified of the following events by email, text, desktop, or mobile push.
      • Any incoming text
      • Incoming texts to your phone numbers
      • Leads assigned to you
      • Missed calls
      • Voicemails
      • New Chatbot conversations
      • Tasks assigned to you
    • Make sure you sign in using the same username to receive these notifications.

    • Use this BCC email address in the BCC section of an email to create leads from the recipients.

  • Teams
    • You can see the aNinja teams you’re included in, and the status of the team: Available (ON / OFF).

  • Access control

Admin rights

Only admin users are allowed to:

  • Change the role of a user (from User to Admin and vice versa).
  • Manage the team members.
  • And, manage the status of the teams: Available (ON / OFF).

Accessing aNinja Mobile app & In-App Purchases

Once you’ve signed up to aNinja from the web (https://signup.aninja.com), immediately, you will have credentials sent to you (email/password).

So, you can use them to securely log into your aNinja web or mobile app.

For security reasons, we recommend you change the given password.

There is presently no direct registration to aNinja through the mobile app.

Reconnect / Re-authorize your email account with aNinja

Reconnect your email account with aNinja if it’s disconnected to be able to send and receive email through the app.

Disconnected email alert

If your email stopped running correctly, you need to reconnect your email account with aNinja to be able to send and receive emails through the app.

When an email is no longer synced, an alert pops up in red on the top middle of the page as a warning to reconnect the email.

When the email gets disconnected, any attempt for sending emails fails and it shows an error in the lead view.

Failed emails don’t show up on the reports page, however, they show up on the logs page with an error status.

But what are the reasons for a synced email to disconnect from aNinja?

The reasons that lead to reconnecting your email account

Several reasons may lead to reconnecting / re-authorizing your email account. Of which we mention:

  • If you have changed your password and did not update it here.
  •  Or, if you’ve enabled two-factor authentication and did not generate an aNinja app password.
  •  It could also be an issue communicating with your email provider.
  • Lastly, to help identify the problem, check for any error messages at your end.

Reconnect / Re-authorize the email account

On the left sidebar, click on Settings > Email accounts

  • Then, click the edit pen next to your name.

  • Lastly, hit the “Connect / Re-auth” button and follow the on-screen instructions to re-authorize your email.

aNinja Authentication

After you’ve been invited to join aNinja, you receive your credentials by email. Those are the login email and password that make your aNinja authentication or your safe access to aNinja.

aNinja login

To login to your aNinja account, point your browse to aninja.com/login

Please make sure to type the login email address and password that you received in the invitation email and that’s saved in your aNinja user account.

Otherwise, you will not be able to login to aNinja.

You can change your password at any time.

Forgot password

If you forgot your password, point your browser to

https://aninja.com/forgot.php

and request a password reset.

You receive a reset link by email. Follow the link to reset your password.

Please make sure to type the login email address and password that you received in the invitation email and that’s saved in your aNinja user account.

Otherwise, you will not be able to reset your password and you’ll receive the following message:

“Please contact support to complete this operation (x145)”

aNinja authentication

I get a password link that expired when trying to reset my password

Our password reset links were set to expire in 48 hours. This means that if you don’t reset your password within that time, the link is no longer valid and you should submit a new request.

Go ahead and try again by requesting a password reset.
